Our Process to Request Volunteers

  • Download and complete the appropriate Volunteer Request Form.
  • Submit your completed form via fax (412-456-2212), email, or mail (535 Smithfield Street, Suite 744 Pittsburgh, PA 15222).
  • Allow 72 hours for your volunteer request to be processed. You will receive a confirmation email when your project has been posted. If you do not receive a confirmation within 72 hours, please call 412-471-2114.

We strongly recommend submitting one-time volunteer requests at least one month prior to the project. We will enter projects submitted less than one month in advance, but please note that this tends to effect volunteer recruitment.

Nonprofit Partnership Roles and Responsibilities

Before the Project:

  • Make sure all supplies to complete the project are available.
  • Notify staff that the project is taking place at your agency.
  • Send specific information to the volunteers if necessary (changes to the project, parking information, supply needs, etc.)
    • To email a volunteer or group of volunteers about a specific project, log-in at http://admin.pittsburghcarescalendar.org, search for your project’s title, and click the specific date containing the volunteer list you wish to contact.  Check the box to the left of each volunteer’s name you wish to email, select “Email Selected Volunteers” in the provided drop-down box, and “Go.”  A default email will pop up, including your project’s confirmation details.  This information can be deleted, allowing you to send a customized message.  Click “Send Email” and the email will be sent to the recipient(s) you selected.  The email will be addressed FROM the email address you used to log-in to the Admin site originally.
  • Print Volunteer sign-in sheets using the Pittsburgh Cares website.
    • Log on to http://admin.pittsburghcarescalendar.org (username and password will be sent upon project approval).
    • Click on “Projects”
    • Find your project either by searching or clicking the first letter of the project name.
    • Click on the project occurrence link (date of project in black).
    • Click on “Print Check-In Form”

During the Project:

  • Have all volunteers sign the Pittsburgh Cares sign-in sheet.
  • Provide a brief orientation including your agency’s mission, programs and needs. (Best practices include a video or client testimonials.)
  • Explain project tasks and any logistical issues (where to get water, location of restrooms, where to go if someone is injured, etc.)
  • Make sure to keep volunteers fully engaged.

After the Project:

  • Thank the volunteers.
  • Explain the specific IMPACT the volunteers had by doing the project.
  • Submit the project check-in form no later than 72 hours after the project via fax (412-456-2212), email or mail (535 Smithfield Street, Suite 744 Pittsburgh, PA 15222).
    • Visit http://admin.pittsburghcarescalendar.org to read any volunteer feedback.
    • Click on “Projects”
    • Find your project either by searching or clicking the first letter of the project name
    • Click on the project occurrence link (date of project in black)
    • If feedback has been provided the “feedback” link next to a volunteer’s name will be highlighted in black.
